Existing Hotel Services

Independent technology support for operating hotels and resorts, without disrupting the business.

Every operating hotel carries technology decisions made years ago, systems specified for a different competitive environment, carrier contracts negotiated before the current market existed, and infrastructure that was adequate at installation but is now limiting performance in ways that ownership has simply learned to work around.

Convergent Services works with hotel owners, operators, and asset managers to evaluate what is in place, identify where costs can be reduced or performance improved, and manage upgrades and transitions without disrupting operations or the guest experience. We work independently of all vendors, carriers, and service providers, so our analysis of what your property has and what it needs is not shaped by any relationship with a particular solution.

  • Telecommunications and carrier costs evaluated against the current market, typically resulting in meaningful savings
  • Unbiased assessment of existing systems and infrastructure with no stake in the outcome
  • Upgrade and transition management that keeps the operation running during the process
  • Technology decisions framed around ownership objectives, not vendor preferences

Signs Your Technology Needs a Second Look

Some technology problems in an operating hotel are obvious. Others become so routine that they stop registering as problems at all. Common indicators that an independent review would be worthwhile:

Take Note If Any of These Sound Familiar

  • Guest complaints about Wi-Fi speed, reliability, or coverage are a recurring pattern
  • In-room entertainment does not support streaming services or guest device casting
  • Your telephone system is no longer under active manufacturer support
  • Carrier or internet service contracts have not been competitively evaluated in the past two to three years
  • Your cable plant predates current structured cabling standards (Cat5e or older in guest areas)
  • Systems that should communicate with the property management system require manual workarounds
  • Staff have developed informal processes to compensate for system limitations
  • A significant brand-mandated technology requirement is approaching and the path to compliance is unclear

Carrier & Vendor Services

Telecommunications and service vendor contracts; voice, data, internet, and the managed services built on top of them, are among the most consistently mispriced line items in an operating hotel's budget. Carriers and vendors rarely proactively offer better rates to existing customers, and hotel operators without specialized market knowledge are rarely in a position to evaluate what the current landscape actually offers or to negotiate from a position of real leverage.

We evaluate your current agreements against the current market, identify gaps between what your property is paying and what it should be paying, and manage the competitive evaluation and transition process where a change makes sense. We work for you, not for any carrier or vendor, with no financial relationship with any service provider. Our only interest is ensuring your property has the right service at a fair price, with contract terms and service levels that protect your operation.

We have yet to work with an existing hotel where we were unable to reduce telecommunications costs, improve bandwidth performance, or both. The savings and service improvements available vary by property, market, and contract history, but the opportunity is present far more often than operators expect.

For existing operating properties where current costs can be clearly measured, we can in some cases structure our fee as contingent on demonstrated savings, a no-risk arrangement for the hotel. This approach works best in situations where the existing cost baseline is well-documented. Contact us to discuss whether your property's situation is a fit.

The technology systems guests and staff interact with daily: property management, in-room entertainment and streaming, point-of-sale, mobile key access, digital signage, and the integrations between them, have a direct effect on guest satisfaction, staff efficiency, and operating costs. When they work well together, they are largely invisible. When they do not, the gaps surface as guest complaints, staff workarounds, and recurring operational friction that ownership learns to accept as the cost of doing business.

We work with operators and ownership groups to assess the current state of FOH and BOH systems in the context of how the property is actually performing today. Our evaluation addresses integration gaps, system limitations relative to current guest expectations, total cost of ownership, and the realistic case for upgrade or replacement. We are not selling any of the systems we evaluate, which means our analysis is framed around what the property actually needs, not around what generates a margin for us.

For properties where brand-mandated system changes are approaching, we can assist with planning, vendor negotiation, and implementation oversight, helping ensure that compliance requirements are met as efficiently as possible.

In an operating hotel, infrastructure limitations rarely announce themselves clearly. A cable plant installed to the standards of fifteen years ago may be delivering adequate performance in some areas while quietly constraining it in others, limiting Wi-Fi density, slowing system integrations, or requiring workarounds that have simply become part of how the property operates.

We assess existing infrastructure to identify where it is constraining performance, creating unnecessary risk, or is no longer adequate for the technology the property depends on. Where infrastructure upgrades are warranted, whether as part of a renovation or as a standalone project, we design and manage the work with an operating hotel's realities in mind: guest impact, departmental scheduling, phased implementation where appropriate, and coordination with ongoing operations.

For properties entering a major renovation or brand-required product improvement program, we provide infrastructure design and management services integrated with the renovation scope, ensuring that the underlying cable plant supports not just the systems being installed today, but the property's needs for the next decade.

In an operating hotel, the decision to upgrade a technology system is rarely straightforward. It involves more than comparing what is in place against what is available. It involves the ownership timeline for the asset, the disruption and guest impact of a transition while the hotel is operating, the integration requirements with systems that are not being replaced, and an honest assessment of whether the performance gap between the current system and a replacement actually matters for this property at this point in time.

We provide independent cost/benefit analysis for upgrade decisions across the full range of low-voltage systems, property management, telecommunications, in-room entertainment, networking, access control, and others. Our analysis looks at total cost of ownership over a realistic time horizon, the operational implications of both upgrading and not upgrading, and the current market for alternatives. Because we have no financial relationship with any system vendor, we present that analysis without a stake in the outcome.

The recommendation is sometimes to upgrade. Sometimes it is to optimize and extend what is in place and revisit the investment decision in a year or two. And occasionally, a system that has been generating internal debate turns out to be performing adequately for what the property actually needs, and the conversation that seems overdue simply is not. We will tell you honestly which situation you are in.

A hotel network serves fundamentally different user groups simultaneously, guests expecting fast, frictionless internet access; corporate and management systems requiring security and reliability; and operational technology including security cameras, access control, building management, and property systems requiring isolation and stability. When these networks are not properly designed and segmented, the results range from guest experience problems and operational friction to genuine security exposure.

We assess current network architecture, identify gaps in segmentation, performance, and security posture, and design or manage the implementation of network configurations that appropriately serve all user groups. Our work in this area extends from initial assessment and recommendations through vendor selection, implementation oversight, and verification, ensuring that the network your property operates on is performing correctly and protecting the business.

Frequently Asked Questions

In most cases, you do not, not without specialized knowledge of the current market and the negotiating leverage that comes with it. Most operating hotels are paying more than the market requires for telecommunications and data services, often because those contracts were negotiated years ago and have never been independently evaluated since. A review costs nothing to initiate. Contact us and we can give you a quick sense of whether a formal evaluation is likely to be worthwhile for your property.

That depends heavily on what is being upgraded and how the work is planned. Infrastructure upgrades in an operating hotel require careful scheduling around occupancy and departmental activity, and phased implementation is often the right approach. Our involvement in upgrade management is specifically aimed at minimizing disruption; sequencing work appropriately, coordinating with hotel operations, and ensuring that guest-facing systems remain available throughout the process.

Both. Our services are provided on a per-project basis, and a project can be as focused as a carrier contract evaluation and renegotiation or as broad as a full technology assessment and multi-system upgrade program. We engage at whatever scope is useful to your team.

Usually with a conversation about what the ownership group or operator is seeing, where the pain points are, what is driving the inquiry, and what the ownership objectives are for the asset. From there, we can assess whether a formal technology audit makes sense, or whether a more targeted evaluation of a specific system or contract is the right starting point. Contact us and we can take it from there.

Whether you’re planning a new build, evaluating an operating property, or somewhere in between, we would like to work with you.
